- Purpose
The purpose of this policy is to establish clear guidelines and procedures for charitable donations made by Corpus Christi Athletic Club (CCAC). This policy ensures that all charitable contributions align with CCAC’s mission, vision, and values; support meaningful community impact; and are administered in a fair, consistent, and transparent manner.
- Mission Alignment
CCAC is committed to promoting health, wellness, community engagement, and positive social impact. Charitable donations will prioritize organizations and initiatives that:
- Promote physical, mental, and emotional well-being
- Support youth development, education, and families
- Encourage inclusion, access, and community enrichment
- Reflect CCAC’s commitment to integrity, service, and leadership
- Scope
This policy applies to all charitable donations, including but not limited to:
- Monetary contributions
- In-kind donations (e.g., memberships, guest passes, facility use, equipment, or services)
- Sponsorships or event-related donations that include a charitable component
This policy does not apply to routine business sponsorships, advertising agreements, or contractual partnerships unless a charitable donation is included.
- Eligibility Requirements
To be considered for a donation, organizations must meet all of the following criteria:
- 501(c)(3) Status
- Must be a registered nonprofit organization with current 501(c)(3) tax-exempt status.
- Proof of status (IRS determination letter or equivalent documentation) is required.
- Organizational Longevity
- Must have been established and in operation for a minimum of five (5) years.
- Mission Alignment
- The organization’s mission, programs, and values must align with CCAC’s mission, vision, and values.
- Community Impact
- Must demonstrate a clear benefit to the local or regional community served by CCAC.
- Good Standing
- Must be in good legal, financial, and ethical standing, with no known conflicts of interest.
- Ineligible Requests
CCAC will generally not approve donations to:
- Individuals or for-profit organizations
- Political campaigns, candidates, or lobbying efforts
- Religious organizations for sectarian purposes (unless part of a broader community service initiative)
- Organizations that discriminate based on race, religion, gender, sexual orientation, or other protected characteristics
- Organizations that conflict with CCAC’s values or business objectives
- Requests submitted retroactively (after an event or program has occurred)
- Donation Request Process
Step 1: Submission of Request
All donation requests must be submitted in writing and include:
- Organization name, address, and contact information
- Proof of 501(c)(3) status
- Year founded (we will not consider an organization less than 3 years old and without proven impact/donations within the community)
- Description of the organization’s mission and programs
- Description of the specific donation request and intended use
- Explanation of how the request aligns with CCAC’s mission, vision, and values
- Any requested recognition or acknowledgment
Requests should be submitted at least 30 days prior to the desired donation date.
Step 2: Internal Review
- Requests will be reviewed by CCAC management or a designated committee.
- Evaluation will be based on eligibility, mission alignment, community impact, and available budget/resources.
Step 3: Approval or Denial
- Final approval authority rests with CCAC executive leadership or their designee.
- CCAC reserves the right to approve, deny, or modify any request at its sole discretion.
Step 4: Notification
- Applicants will be notified in writing of the decision.
- Approved donations may be subject to conditions, including reporting or acknowledgment requirements.
- Budget & Frequency Considerations
- Donations are subject to annual budget limitations.
- Preference may be given to organizations with which CCAC has an ongoing or strategic relationship.
- Repeated requests from the same organization may be limited to ensure equitable community support.
- Documentation & Recordkeeping
- CCAC will maintain records of all charitable donations, including request materials, approvals, and proof of nonprofit status.
- Documentation will be retained in accordance with CCAC’s financial and compliance policies.
- Use of CCAC Name & Logo
Organizations receiving donations must obtain prior written approval before using CCAC’s name, logo, or likeness in promotional or marketing materials. All materials promoting CCAC must be approved by the Marketing Director or Digital Marketing Manager.
- Policy Review & Updates
This policy will be reviewed periodically and may be updated as needed to reflect organizational priorities, legal requirements, or community needs.
